New MGA Award Approval Process

Did you know about the new MGA award approval process for Geographic Unit awards?

Effective 2023, all MGA geographic units and MGA Committees must follow the new award approval process. The new process routes all Region, Area, Council, Section, Chapter, Affinity Group and Student Branch new award proposals or revisions to existing awards to the respective Region for final approval.

New award proposals from MGA Committees will be forwarded to MGA ARC and MELCC for endorsement and to the MGA Board for final approval.

MGA ARC will evaluate all proposals for new awards or revision of existing awards. All award proposals must be submitted using the MGA Awards Template and sent to the MGA ARC Chair at:

mga-awards@ieee.org.

IEEE Meetings, Conferences and Events Leads Innovations in Event Sustainability

Over the past several years, IEEE has worked to develop innovative ways to reduce IEEE events' environmental impact and share these learnings with the IEEE community. The IEEE MCE website now contains a dedicated: Sustainability Hub that contains guidance, online tools, and resources for supporting sustainable events. These range from an in-person IEEE Event Sustainability Guide and online carbon calculators to a list of sustainable badge vendors that can be used as IEEE members and volunteers plan their events.

IEEE MCE also recently completed Phase 1 of its goal to include sustainability questions in all event-related requests for proposals (RFPs) to help the conference community identify partners with shared sustainability goals.

Additionally, as part of the innovative approaches to conference delivery that IEEE is deploying, 2023 IEEE President and CEO Saifur Rahman utilized holographic technology to "beam into" the 2023 IEEE Convene event, held in August for IEEE conference organizers. This is a creative alternative to include speakers at an event they may normally not be able to attend in person.

Improved IEEE Presentation Templates Available for Use

The IEEE Corporate Presentation Templates have been recently updated and feature several improvements, including:

• Improved photo options that better represent the diversity of people, technology, knowledge, connections, and global themes.

• The ability to add a program identifier or sub-brand logos.

• Editable variations for title, divider, and text slides.

• Several branded color template options.

All versions come in the industry-standard 16:9 widescreen format, and as the Google Slides version for easy collaboration. Additionally, a: Quick Start Guide is available to illustrate how to apply the updated templates to existing presentations.

Update to Browser Cookie Banner on IEEE Managed Websites

In the past few years various new data privacy regulations have been enacted, underlining user expectations related to the storage and use of their personal information. IEEE is continuing its commitment to member and customer data privacy and compliance with the new regulations and will be rolling out a new approach to storing and using browser cookies.

A browser cookie is a small piece of data that is stored in a web browser and can be used to maintain login to a website, support a seamless purchase from an online store, marketing of relevant products, and more.

To provide visitors to IEEE websites a more granular choice, IEEE will be updating the existing cookie banner. The new cookie banner will allow customers to review and select the types of cookies set by IEEE in their browser – essential, analytics, marketing, etc. This is not a small task as IEEE owns upwards of 10,000+ websites maintained by staff and volunteers.

Additional details regarding installing the new cookie banner on IEEE websites will be shared in the future editions of SCOOP.

GoogleApps@IEEE with Additional Storage

As we've been sharing over the past year, Google has reduced the amount of free storage for IEEE Members to 5GB. Members and Volunteers who need more than 5GB of storage in their GoogleApps@IEEE account can now purchase a one year subscription to GoogleApps@IEEE with Additional Storage at an introductory cost of $48 USD plus any applicable tax. This option provides 35GB of storage across all GoogleApps@IEEE services.

There are two ways to make the purchase:

1) Call or chat and ask our IEEE Contact Center associates to process your order. Contact Center associates are ready to assist you 24/5 -- Sunday 4:30 p.m. EDT to Friday 4:30 p.m. EDT. Our phone numbers are: +1 800 678 4333 (USA and Canada) +1 732 981 0060 (Worldwide). Secure Chat is available at the: IEEE Support Center portal at: https://supportcenter.ieee.org.

2) Go online to: https://www.ieee.org/membership-application/public/addservice.html?products=GOOGLEPORT. This option requires IEEE Membership Renewal.

Please be aware that according to IEEE's contract with Google, there will be a substantial price increase for the GoogleApps@IEEE with Additional Storage product in 2025. The new price is anticipated to be $72USD. Please plan accordingly.

Members who do not want to purchase the additional storage product can refer to: Instructions on how to move data to other services or to remove files that are no longer needed. Personal documents can be stored in: IEEE Collabratec Workspaces.

Collabratec Upgrades Homepage into Personal Dashboard

In October, IEEE Collabratec released its latest round of upgrades, which built upon a comprehensive site navigation upgrade and aesthetic refresh that commenced in August. This release evolved the Collabratec homepage into the user’s personalized dashboard. The upgrades eliminate navigation clicks and help users get to where they want to go faster. Additionally, an aesthetic refresh has now been extended across the platform including new and standardized iconography.

The ‘pending actions’ module is now located in a more prominent and visible location on the home page to help users monitor incoming requests:

• Pending actions notify users about invitations to join workspaces or communities, network connection requests, and mentor requests. It also includes confirmation of invitation acceptance.

• Community and workspace navigation has been refined, including consolidation of all administrative tools to one location.

• The ‘my badges’ module is relocated to help users quickly access their most recent badges, as well as those previously earned.

• The custom networks module is now located on the homepage. Custom networks are directly integrated with Collabratec’s messaging feature to enable group chats for ad-hoc questions or ongoing discussions.

• The icon representing IEEE Volunteers status was upgraded to better signify their selfless contributions to the organization.

Membership Cards Are Now Accessible Through the IEEE App

With the newest release of the IEEE App, members can now access their membership card directly through the app. The card includes member number, membership grade, and all society affiliations. Users also have the option to conveniently download their membership card directly to the digital wallet on their phone.

The IEEE App can be personalized to allow users to see, read, and choose how they want to engage and connect to all things IEEE, as well as network globally.

NEW – Conference Peer Reviewer Basics Course

In collaboration with the IEEE Conferences Committee, MCE Conference Education has launched a four-module course for conference Peer Reviewers. This ‘basics’ course is targeted at individuals new to conference peer review or those who have not conducted reviews for an IEEE conference.

The course, led by volunteer Fred Schindler, defines peer review, review types, explains how to conduct reviews and reviewer ethics. Each module is less than 15 minutes in length. Individuals completing all modules are eligible to receive a certificate.

The course is available in the IEEE Center for Leadership Excellence (CLE), along with other conference education courses. CLE is accessed using an IEEE Account credentials.

To reach the course, select Conferences and Events from the: CLE Home Page, once logged in scroll to the bottom of the Conference Education Programs list to Peer Reviewer Basics – Modules.

“Train the Trainer” Conference Peer Reviewer

In addition to on-demand, this course is available in a “Train the Trainer” format for delivery by a volunteer on a local basis. Complete speaker notes are provided that complement the presentation materials.

Conference Peer Reviewers are always in demand. This course is a simple and good way to attract new Section members and engage current ones in a great ‘entry level’ volunteer activity! It is also an opportunity to support graduate students with skills that will help them as authors and in giving back to the scientific community.
