This unique event offers an exciting opportunity for attendees to meet the IEEE senior leadership team. The event will be held from 4:30 p.m. to 9:00 p.m. MDT, or via livestream 6:00 to 9:00 p.m. MDT. The forum is open to current, former, and potential IEEE members.

A Well-Kept Secret
Our volunteers carry the IEEE mission by conducting activities every day that benefit their local IEEE communities throughout the world. To support them in this effort, MGA ensures that they have the right training resources at their disposal.
Among the training resources offered by MGA, the IEEE Center of Leadership Excellence, (CLE) is perhaps one of its best-kept secrets! What is the CLE? The CLE is a training resource targeting IEEE members and volunteers. In fact, it is part of IEEE members’ benefits. CLE provides self-paced access to on-demand content. All IEEE members and volunteers can access the CLE using their IEEE Account.
The CLE targets multiple audiences. Elected or appointed volunteers have access to Action Plans (checklists) in CLE, to help them perform in their roles. There are Action Plans available for 24 volunteer leadership roles across all the geographic units (e.g., Section, Student Branch, etc.). The CLE also targets those interested in the Volunteer Leadership Training Program (VoLT), and provides content for conference organizers.
There are many ways to leverage the CLE. Sometimes, when a volunteer steps into an officer role, he/she may not be entirely familiar with the position. The Action Plans help volunteers familiarize quickly with the role. To access the Action Plans, simply go to the Volunteer icon on the CLE homepage and click the "Action Plans" icon to begin.
Another effective way to leverage the CLE is during officers’ transition. The outgoing leaders can point the new incoming officers to the CLE to review the Action Plans for their respective roles. After referencing the Action Plans, new officers may hold a meeting to ensure the roles and responsibilities are clear.
In early 2018, more than 80 pieces of new-recorded content was added to the CLE, offering an array of topics covering many areas of the entire IEEE organization.
The MGA Training Committee oversees the CLE as well as other training resources such as the Volunteer Leadership Training Program (VoLT). A long-time volunteer from Region 5, Diane Bowen Collier, chairs the committee. The Training committee held its annual meeting in July 2018, and one item at the top of their list is to publicize MGA training resources, which grows member and volunteer usage of those resources and encourages volunteer engagement.
Keeping our volunteers involved, energized, and motivated to serve in leadership positions, contributes to the success of the larger IEEE. Effective training is key in achieving this goal.

Coming Soon: New IEEE Guidelines for Working with Children
IEEE is committed to providing programs that are both enriching and safe for all participants – including children. As part of this commitment, IEEE has approved guidelines for working with children. These guidelines were approved by the IEEE Board of Directors in November of 2017.
In the near future, IEEE will be releasing procedures and tools for volunteers and employees who participate in IEEE-sponsored activities that include children. The procedures and tools will include guidelines, program registration, training, and background screening. More information will follow.

MGA Board Votes to Reaffirm IEEE Code of Conduct, IEEE Code of Ethics and IEEE Nondiscrimination Policy
At the June 2018 MGA Board Meeting, the Board approved a statement reaffirming the IEEE Code of Conduct, IEEE Code of Ethics, and IEEE Nondiscrimination Policy.
This statement solidifies MGA’s dedication to ethical and fair treatment of all IEEE members, and reads:
"IEEE members are committee to the highest standards of integrity, responsible behavior, and ethical and professional conduct. The IEEE Member and Geographic Activities Board reaffirms its commitment to an environment free of discrimination and harassment as stated in the IEEE Code of Conduct, IEEE Code of Ethics, and IEEE Nondiscrimination Policy."

Electronic IEEE Copyright Form (eCF) for Conference Proceedings
As a reminder to conference organizers, IEEE policy requires a signed IEEE Copyright Form for every submitted paper before publication can occur. This puts IEEE in a strong position to protect the intellectual property of our conferences.
However, if this copyright requirement is not met, significant delays in publication of the conference proceedings could occur.
Collecting and keeping track of paper copyright forms can be a tedious and time-consuming task, so the IEEE Intellectual Property Rights Office (IPR) offers the Electronic IEEE Copyright Form (eCF) to simplify the process. The eCF is a highly effective tool that not only transfers copyright to IEEE, but also saves IEEE authors, volunteers and staff significant amounts of time and effort by eliminating the need for the paper form.
Once registered, the authors are guided to the appropriate form, which is signed by typing in their names and clicking on a "Submit" button.

We are planning a migration effort for our dated multisite WordPress hosting service: http://sites.ieee.org/ to a more robust server that will simplify maintenance (backup, restore, migrate, etc) and increase security. This migration is not a complete migration, but an opt-in one to facilitate optimization efforts. If your sites need to be publicly accessible, then you will need to opt into the migration effort. All other sites will be archived and they will not be publicly accessible.

IEEE MGA is excited to announce the expansion of our online petition form to include submissions for Sections, Subsections and Status Changes! Online petition submissions are already available for Student Branches, Student Branch Chapters, Student Branch Affinity Groups, Technical Chapters and Affinity Groups.

In accordance with the actions of the IEEE MGA Board, there are specific guidelines to follow when forming an IEEE geographic unit. More information about forming a geographic unit can be found in Section 9 of the MGA Operations Manual.
IEEE local geographic organizational units provide unique opportunities for members to attend technical presentations, create strong peer-to-peer connections, and participate in leadership opportunities that can make a positive distinction in IEEE members' jobs and careers.

The IEEE/RSE James Clerk Maxwell Award Presentation
The IEEE and the Royal Society of Edinburgh created a joint award in 2006 to recognize groundbreaking contributions that have had an exceptional impact on the development of electronics and electrical engineering or related fields. The award is named in honor of the 19th-Century Scottish mathematician and physicist, James Clerk Maxwell, who laid the foundations of electromagnetic wave theory, radio propagation, microwave techniques, and radio communications. The annual award consists of a gold medal, bronze replica, a certificate, and an honorarium, and it is one of the awards given at the annual IEEE Honors Ceremony. Unfortunately, the co-recipients were unable to make it to the ceremony in San Francisco, California, USA.
On 5 July in Edinburgh, Scotland, His Royal Highness, The Duke of Cambridge presented the IEEE/RSE James Clerk Maxwell medals to the 2018 co-recipients, Thomas Haug and Philippe Dupuis.
“Last November I felt immensely honored to learn that, together with Thomas Haug, I would receive the 2018 Maxwell medal. I wish to thank the IEEE and RSE for this great honor. During my engineering studies, I thought that the importance of the work of James Clerk Maxwell deserved to be acknowledged to a greater extent. Now this happened: all scientists indeed recognize that Maxwell has provided one of the most eminent contribution to the constructions of modern physics and the understanding of nature itself.” Philippe Dupuis
“I would like to thank the IEEE Awards Program and Awards Board for this great honor. The award ceremony in Edinburgh was a very nice event during which the bronze replicas were handed over to us by His Royal Highness, The Duke of Cambridge. Updated IEEE Corporate Web Site Launches -- Where's the Volunteer Content?
On 4 April 2018, an updated www.ieee.org launched with a strategy focused on:
· Showcasing who and what IEEE is;
· Conveying what IEEE offers visitors and customers;
· Providing a portal to content our core customers need and want; and
· Driving revenue-generating traffic.
The launch included migration of 3,500 pages and 400,000 assets to a new content management platform; roll-out of a new responsive design to better serve mobile traffic; and reorganization of certain areas of the site, including the location of volunteer-related content. As is common soon after a major content migration, visitors might find broken links in pages and search results. Teams are actively identifying and resolving these issues. If you have identified a broken link or missing content, please report the issue using the Web Site Feedback Form and indicate if the issue is critical to IEEE business so that it can be prioritized accordingly.
Where's the volunteer content?
Integral to the corporate web site strategy and to the activities of IEEE volunteers is giving content supporting IEEE volunteers its own deserved space within the IEEE digital presence. To accomplish this, volunteer-related content is in the process of migrating to new volunteer-centric web sites which include a unified search. This is the first step towards establishing a volunteer "extranet" to better serve the IEEE volunteer community and will continue to evolve. These sites are:

Call for Nominations: MGA William W. Middleton Distinguished Service Award
Every three years, the MGA William W. Middleton Distinguished Service Award is presented to an individual, who over a long and sustained period of leadership, contributed in an exemplary manner to the IEEE Member and Geographic Activities (MGA) Board, its activities and achievements, and the attainment of its goals and objectives. Selection criteria, the nomination form, and more information on the MGA awards process are available.

Call for Nominations – MGA Outstanding Section Awards
Each year, the MGA Outstanding Section Awards are presented to one large, one medium, and one small Section (across all Regions), to recognize their excellent work and successful efforts in fulfilling the educational and scientific goals of IEEE for the benefit of the public. The recipient Sections are acknowledged for maintaining, enhancing, and supporting the Student Branches, Technical Chapters, and Affinity Groups within their geographic boundaries.
Three awards are presented, as follows:
- Large Section = 1,501 or more members (including Students) as of 31 December of the prior year;
- Medium Section = 501-1,500 members (including Students) as of 31 December of the prior year; new in 2014
- Small Section = 500 or fewer members (including Students) as of 31 December of the prior year

Call for participation: 2018 IEEE Volunteer Leadership Training Program (VoLT) - The MGA Training Committee is pleased to announce the launch of the 2018 Volunteer Leadership Training Program (VoLT). The program enters its fifth year of implementation after graduating over 180 graduates since 2013, representing all IEEE geographic Regions.
VoLT targets volunteers who have a true desire to learn about the broader IEEE and are considering taking leadership positions within their local units and roles in IEEE committees. IEEE volunteers with 2+ years of volunteer experience in their local units and have not held a Section Chair position are highly encouraged to participate. The program runs in two phases as described below. Please read the information carefully.
Track 1 - IEEE volunteers are invited to participate in Track 1, which covers the core organizational units of IEEE and provides a key foundation knowledge of the organization. The eight courses can be found in the IEEE Center for Leadership Excellence (CLE) web site. Participants will need to complete a short quiz at the end of each session. If you are interested in participating in the 2018 VoLT Program you should complete these courses between May 21 and June 22.
To access Track 1 courses, log into the CLE with your IEEE account starting May 21 and click on the “VoLT Program” icon to begin. Volunteers who complete Track 1 within the dates listed above can apply for consideration for Track 2.
Track 2 - After completing Track 1, volunteers will receive an email notification early July 2018 with a link to complete an application form, completion deadline and other details of the program. Track 2 candidates will need to send an endorsement note (e.g., email or word file) signed by either his/her Region Director, Section Chair, Chapter Chair, or MGA Young Professionals (YP) Committee Chair. We may consider other endorsements from IEEE volunteers (e.g., IEEE Committee Chairs) on a case-by-case basis. The endorsement is a short note by a volunteer leader who knows you and believes the program will be beneficial to you. Send an endorsement only if you complete Track 1 within the dates defined above and receive the email with the program application link.
Please note that participation in the program requires a time commitment of 4-8 hours a month.
Track 2 will run from early September thru early December 2018. During these 3 months, participants will have weekly live webinars focused on leadership related topics. They will have a mentor and will work on a project assignment as part of a team.

New IEEE Travel & Expense Reimbursement Guidelines
In an effort to control costs and establish guidelines regarding reimbursable travel expenses, the IEEE Board of Directors approved new IEEE Travel & Expense Reimbursement Guidelines. The most significant change that will impact IEEE volunteers is:
- All volunteer expense reports must be submitted to IEEE, approved internally and forwarded to IEEE Accounts Payable within 60 days after the expenses have been incurred. Failure to submit expense reports within the 60-day threshold may result in non-reimbursement.
The IEEE Travel & Expense Reimbursement Guidelines were created in response to recommendations from the Travel and Expense audit conducted as part of Internal Audit's strategic plan, as approved by the IEEE Audit Committee.

Educational Activities Presents TryEngineering Summer Camps, Powered by IEEE

This is a two week sleep away camp (for 12 - 17 year olds) at four colleges/universities in the US in July 2018. The member cost is $3,095; non-member is $3,295.

Nominate Yourself or a Colleague for a Newly Open 2018 Ombudsman Volunteer Position

IEEE Technical Activities (TA) is looking for a volunteer with the necessary leadership and organizational skills to impact the future success of the organization, to serve as the TAB Ombudsman.
This individual will serve as the point of contact for reporting issues or concern including complaints and disputes, related to IEEE Technical Activities programs, projects, or activities, that have not been resolved through established procedures. This includes, but is not limited to, the work of the Technical Activities Board, Societies, Technical Councils, Communities and their subgroups, as well as other IEEE and non-IEEE organizational units.
This individual must be an IEEE member in good standing, be a former member of TAB or a TAB Committee, and must be able to commit a significant amount of time to the position. Prior knowledge of IEEE governance and processes is required. You can view additional information about the position in Section 2.14 in the TAB Operations Manual.

Nominate a Colleague for the IEEE Technical Activities Board Hall of Honor Recognition
Do you know someone, living or deceased, who has made one or more contribution(s) to IEEE Technical Activities Now is your chance to nominate him or her for the Technical Activities Board Hall of Honor.
Multiple inductees are allowed in each year, to be considered for two recipient categories; recent contributions (within the last five years) and earlier contributions. The TAB Hall of Honor Selection Committee may recommend up to three recipients in each of the categories in a given year.
Sitting members of TAB, members of the Selection Committee, and staff are ineligible to be considered. To better judge the permanence of the accomplishment, consideration of a nomination by TAB is permitted only after one year has elapsed from the accomplishment or the death of the nominee in the case of a posthumous nomination.
The deadline to receive nominations is Monday, 14 May 2018. The final 2018 recipient(s) will be determined by the IEEE Technical Activities Board at the June 2018 meeting.

Call for Award Nominations: Society/Council Professional Development and Educational Activities
The IEEE Educational Activities Board (EAB) is seeking nominations for its annual awards, including the Society/Council Professional Development Award.
This Award recognizes IEEE Societies and Councils for major contributions to the professional development of its members through outstanding products, services, and support in the areas of life-long learning, continuing education, and professional development.
The deadline for submitting a nomination is 7 May 2018.
Nominations are also sought for other Educational Activities awards. A description of each award and the applicable nomination forms can be found here.

TAB Votes to Reaffirm IEEE Code of Conduct, IEEE Code of Ethics and IEEE Nondiscrimination Policy
At the February 2018 TAB Meeting, TAB approved a statement reaffirming the IEEE Code of Conduct, IEEE Code of Ethics, and IEEE Nondiscrimination Policy.
This statement solidifies TAB's dedication to the ethical and fair treatment of all IEEE members, and reads:
"IEEE members are committed to the highest standards of integrity, responsible behavior, and ethical and professional conduct. The IEEE Technical Activities Board reaffirms its commitment to an environment free of discrimination and harassment as stated in the IEEE Code of Conduct, IEEE Code of Ethics, and IEEE Nondiscrimination Policy."
Reinforcing codes and policies in existence is only the first step; TAB will continue to look ahead at new opportunities to raise awareness through education, easier reporting, messaging, training, and dialogue.
You may wish to hold an AdCom vote to endorse a statement on behalf of your Society/Council. In response to a request from Societies/Councils to provide a vetted statement for use on Society/Council websites, newsletters, and/or conference web pages, the several statement variations have been vetted by IEEE Legal, Corporate Communications, and Governance groups and are approved for use. The Special Interest Group on Humanitarian Technology (SIGHT) Steering Committee is soliciting proposals for Sustainable Development and Humanitarian Activities related projects. The SIGHT program is a network of IEEE volunteers that partner with underserved communities and local organizations to leverage technology for sustainable development. The committee will review proposals during three periods in 2018 and will grant awards between US $1,000 and US $19,999.

Title: Artificial Intelligence and Machine Learning Applied to Cybersecurity trend paper released.
In late 2017, IEEE convened 19 experts from Artificial Intelligence (AI), Machine Learning (ML), and cybersecurity sectors for a two-and-a-half-day collaborative session with the goal of collectively authoring a timely trend paper focused on the complex question:
Given the rapid evolution of AI/ML technologies and the enormous challenges we all face with respect to cybersecurity, what is needed from AI/ML, where can it be best applied, and what must be done over the next 10 years?
This esteemed group of individuals identified challenges associated with the question, proposed multiple topics for discussion that could potentially address the question, and then cooperatively prioritized six specific topics that must be addressed to answer the question. They collectively authored a paper, Artificial Intelligence and Machine Learning Applied to Cybersecurity, focused on exploring these challenges and identifying the most viable solutions.
Available on IEEE.org, the paper is a deliverable of the IEEE Industry Engagement Committee, in cooperation with Syntegrity who provided their services pro bono. This project highlights the strategic dimension of connecting technology leadership through industry and into policy.
This is a new model of engagement that will expand with events at Rebooting Computing Week, to be held in November in Washington, DC, USA, and subsequently in other regions of the world.
In the spirit of continued transparency and peer-review, an online feedback form for your comments is provided with the paper.

MGA would like to thank everyone for submitting their officer, meeting, and financial reports to IEEE in a timely manner. Following review of the reports, the rebates will be completed and distributed to eligible geographic units whose officer, financial, and meeting activity reporting was received complete and subsequently approved.
As a reminder, the rebate is paid to the Section. The funds provided are intended for the support of not only the Section’s activities, but also the activities of its subunits, including Subsections, Chapters, Affinity Groups, and IEEE Student organizations. Section officers are encouraged to use rebate funds to support unit activities.
